What to Expect When You Start Services with Us

Getting started can feel overwhelming, especially at first! But we are here to help! When you are ready to start this journey, we will walk with you every step of the way.

 

While the details are different for different funders, our onboarding process generally follows these 4 steps.

Consultation and Documentation

One

Our onboarding starts with a consultation with one of our admin team. This can be done in any format you desire. We use this to get a basic idea of the services that may benefit your child, as well as answer any questions that you have. We can conduct it over email, an online meeting, or in person! We will help you fill out paperwork, get necessary information and documentation from you, such as your insurance card, proof of diagnosis, and any other required documents that your funder needs. We will also conduct a benefits check if you plan on using insurance to verify coverage, and we will discuss with you any copays or deductibles in your plan. The consultation step sometimes requires multiple meetings or ongoing dialogue, especially if we are waiting on documents from a doctor’s offices. Depending on your funder, and the response time of doctor’s offices, this process can take 2-6 weeks. During this time, we will check in with you every few days to make sure we stay on track for starting services.

Assessment

Once we have all required documentation, we will submit a request to insurance (if applicable) for an assessment. As soon as we receive approval, we will contact you and set up a date and time for the assessment. The kind of assessment we will run will depend on your child and the service you are looking to receive, among other factors. During this step we will also begin the process of discussing schedules and availability more in depth, so we can reserve a spot especially for your child.

Treatment Planning

Your assigned BCBA will review the assessment data, as well as parent interview data, and begin writing up a treatment plan. This part of the process can take 1-2 weeks. Once completed, we will meet with you again to discuss the treatment plan and answer any questions that you may have. Once you give your approval for the treatment plan, we submit it to insurance (where applicable) for approval. We will also finalize your child’s schedule in this step.

Begin Services

Congratulations! Your child is ready to begin services and we are so excited and honored to be on this journey with you!  For the first few weeks, we will take a slow and gentle approach, as we get to know your child, and they get to know us. A BCBA will be with your child for the first several sessions, and as needed for any RBTs as they learn your child’s treatment plan. We will be focusing a lot on pairing, the clinical term for building rapport with your child. Strong pairing is essential for therapeutic success. As your child is ready, we will begin incorporating goals and targets into their sessions.
